There are many more rules that you can set up to automatically process your email.
Only Allow Messages from Certain People and Delete the Rest
If you have a young child using email to communicate with grandma and he or she has their own email address, you can have only email from grandma come to the box and delete the rest. The rule will be:
Condition: Where the To line contains people (enter the child's email address)
Condition: Where the From line contains people
In the Select People dialog box - Add grandma's address and then click options.
Change it to "message does not contain the people below" and click OK.
Action: "Delete it".
Now if the email isn't from Grandma, it will be deleted. Remember that the child must have their own email address and be shown how to go directly to their folder.
If A Message is From A Certain Person - Delete It
To delete a message that comes from a certain person - the rule is:
Condition: Where the From line contains people - enter the person's email address
Action: Delete it or Delete it from the server. *Remember that if you delete something from the server you can't retrieve it and you won't know that it was deleted.
If the Message Matches these Conditions - Send An Automatic Reply
You can send an automated reply when you receive an email. This will not work if you don't download the email. It won't work for automatic replies if you are on vacation because you won't be downloaded your email. You need to set that up on the email server through your ISP.
Create an email and File/Save As to your MY DOCUMENTS folder.
Condition: Where the From line contains people - enter the person's email address.
Action: Reply with message - select your saved email in your MY DOCUMENTS folder.
If the Message is Larger Than (Size) - Delete It From The Server
If a friend sends you extremely large attachments and you are on dial up, sometimes it clogs up your email for hours. If you have asked him or her not to send large attachments and they still do, you can automatically delete the message from the server. The message rule is:
Condition: Were the message size is more than size - select the size (ie. over 1024KB which is 1MB.
Action: Delete it from the server (remember that you will not know it came and you can't retrieve it when you delete something from the server).
Automatically Delete Messages With Attachments
You can automatically delete messages that come with attachments. They will still be there in your deleted items folder until you delete them. This is great for families with children that open everything exposing your computer to viruses. The message rule would be:
Condition: Where the message has an attachment.
Action: Delete it
Automatically Forward Email
If you want you can also set up an automatic forward. For instance if you and your husband used to share an email address and now he has his own, you can automatically forward his email from his friends to his email address. Remember though that you must download the email from your server before it will forward it. The message rule would be:
Condition: Where the From line contains people - enter his friend's email addresses
Action: Forward it to people - enter the email address you want it to sent to.
